Why projects fail due to poor communication and time allocation is a common problem in almost every organization. In our recent Agile session, we found that many projects suffer because teams are busy with daily tasks, and no official time is set for project work. This leads to delays, frustration, and missed deadlines.
One project manager shared a very common problem.
He said,
“I am working on the deadlines, but my team is not responding.”
The interesting part?
The whole team was also sitting in the session!
So, I asked the team,
“Why is your manager struggling? Why are you not responding?”
And then the real problem came out.
This is something I have seen in almost every organization I work with.
The Real Problem: Poor Communication and No Time Allocation
The issue was simple:
They don’t know how to create a Project Organization.
The team members assigned to the project were already fully busy with their daily jobs.
The project work was just extra work added on top of their normal tasks.
When the week starts, top management assigns weekly tasks to everyone.
These tasks do not include the project work.
But still, management asks the project manager every day:
“What is the update on the project?”
The manager feels pressure.
But the team has no time for the project.
How We Fixed the Communication and Time Allocation Issue
When we discussed this in the session, the project manager realized the truth.
There was no official time assigned for the project work.
Luckily, the management was also in the session.
So, we all agreed to block 2 hours per day for the project.
This way:
- The team gets time to focus on the project.
- The project manager starts getting real progress.
- Everyone knows their responsibility.
Before this, the team honestly said,
“Sorry, look at our weekly tasks. We have no time.”
The project manager thought the work needed 5 days.
But in reality, 15 days passed, and the team had not spent even 1 hour on the project.
The Lesson for Avoiding Project Failure
✅ Communicate clearly.
✅ Do not assume.
✅ Share your problems.
✅ Create clear structures.
✅ Allocate official time for the work.
This is how an organization grows.
This is how projects are delivered.
This is how teams build trust.
